Can you see which emissions factors came from which databases?
EXIOBASE, DEFRA, ecoinvent all have different methodologies and coverage. Your tool should make this transparent, not bury it in metadata.
PCFs need source labels and version tracking. When your supplier updates their carbon footprint, you need to know what changed and why.
2. Consistency Checking
PCFs across suppliers are often apples and oranges. Different system boundaries, different allocation methods, different functional units.
The best platforms flag these inconsistencies automatically rather than making you hunt for them. Outlier detection matters too. If one supplier's PCF is 10x higher than industry average, that's worth investigating before you report it.
3. Audit-Ready Documentation
Export capabilities aren't glamorous, but they're essential.
Can you pull assumptions, factors, and data lineage into a format that makes sense to an auditor? If you were asked to defend this input in front of a regulator or investor, could you?
The documentation trail starts with data collection, not reporting season.

They're common because they're practical. You get supplier-specific data where possible and reasonable estimates where you don't.
But they need transparency. Which parts are calculated versus assumed? What happens when supplier data is incomplete or stale? Is the fallback logic documented and consistent?
The best tools don't just generate numbers. They show their work. They make the logic visible so you can explain it to others.
Scaling without breaking
If your tool requires manual review of every row of every PCF, it won't scale. You'll spend more time checking data than using it.
Look for automation that actually helps. Duplicate detection prevents the same data from being entered multiple times. Timestamped uploads track when information was last updated. Rules for data aging flag when re-verification is needed. Built-in audit trails capture who changed what and when.
You shouldn't need to chase 50 suppliers for updated PDFs if the system knows what's changed.
The right questions for vendors
Ask about PCF comparability. How do they handle different methodologies and system boundaries? Can they flag anomalies or outliers automatically, or do you need to build that logic yourself?
Find out which emissions factor databases they support. Ask if you can export a full data audit trail, not just summary reports.
If they can't answer those questions cleanly, or if everything's buried in technical appendices, you may want to keep looking.
